2025/2026 Travel Invite Information

- Travel invitations will begin going out Monday June 3rd!
- This process takes up to two weeks. Some age groups come out before others. If you have multiple kids in the program, you may receive invites at different times, that is normal.
- Once you receive an invitation, you have 48 hours to accept or decline. If you do not accept or decline within 48 hours, the invite becomes inactive.
- The invitations will be sent from Demosphere. If you accept, you do NOT need to pay right away and hitting the accept button does not require a deposit or payment.

After acceptance, you must register your child and pay the $495 registration fee in the State registration portal (Blue Sombrero) - to do so, click here.
NOTE: This log in is separate from your Demosphere log in. If you are a returning player, do NOT create a new user ID.
a. When uploading a photo, it must be a passport type photo. No sunglasses, hats, or full body photos.
b. If you have any issues, or if you are a new player born outside the US, please reach out to the Registrar.
- Things to consider before accepting or declining your posltion:
- Double Rostering

Hartwell does not encourage double rostering, particularly in the YTL-U11 age groups. We are aware that some families elect to play for multiple soccer clubs. In some cases, there are minimal schedule conflicts. However, we have found that players who double roster frequently miss Hartwell practices and games, leaving our teams short-handed and greatly affecting the team dynamic. Travel placements are a year-long commitment and we expect you to give the same amount of time to Hartwell as you do other clubs. If you cannot make the commitment to Hartwell, please consider declining your travel invitation. We typically make cuts in every age group, and do not want to turn away players who can be fully committed to Hartwell.
Starting this 2024 Fall season, we expect players who double roster to provide notice to Hartwell’s Program Director. In the event a double-rostered player does not abide by the Hartwell commitment policy, playing time during games could be affected.

- Volunteer Requirement
- Each travel family is required to volunteer 3 hours per travel player they have in the program during our Spring Tournament. We try our best to accommodate teams and schedules to make it easier on everyone.
